Job Description

We are seeking a highly organized and detail-oriented Part-Time Administrative Assistant to join our team. This position offers the flexibility of working from home, either partially or fully remote. The ideal candidate will have experience in QuickBooks invoicing and administrative duties, including managing transportation contracts, particularly for school bus services and out-of-district students. If you have a knack for keeping things running smoothly and possess strong organizational skills, we would love to have you onboard!

Key Responsibilities

QuickBooks Invoicing:

Prepare and send invoices to clients on a monthly basis or as needed.
Track payments and follow up on overdue invoices to ensure timely collection.
Maintain accurate records of invoicing and payments to ensure financial transparency.
Contract Management & Scheduling:

Contact school districts regarding potential contracts and bid opportunities.
Manage student and driver schedules to ensure proper shift coverage.
General Administrative Support:

Respond to emails and phone calls professionally and promptly.
Schedule meetings and appointments, coordinating calendars for efficiency.
Prepare and manage spreadsheets, reports, and other important documents.
Assist in maintaining company records and files.
Provide other administrative support to the team as necessary.
Office Streamlining & Efficiency:

Contribute to improving office processes and supporting team members in various administrative tasks.
Organize incoming phone calls and direct them to the appropriate person.
Schedule and organize meetings, taking minutes as required.
Write and distribute emails, memos, and letters.
Maintain an organized filing system and contribute to the creation and updating of office procedures.
Qualifications

High school diploma/GED required; Associate's degree or administrative training is preferred.
Previous experience in an administrative support role is highly desirable.
Proficiency with office equipment, including printers and fax machines.
Strong computer skills, including knowledge of Microsoft Word, Outlook, and PowerPoint.
Excellent time management skills, with the ability to prioritize tasks effectively.
A keen eye for detail and strong organizational abilities.
